2. What data we collect

When you request a quote or contact us by form, email, phone or WhatsApp, we collect the data you provide: name or company name, email address, phone number, pick-up and delivery locations, item description, dimensions and weight, preferred dates, photographs of the item and any additional information you choose to share.

3. Why we process it and on what legal basis

— Preparing a quote and organising your transport, at your request (Art. 6(1)(b) GDPR).
— Keeping accounting and tax records (Art. 6(1)(c) GDPR).
— Communicating with you, protecting the website against spam and abuse, and measuring anonymous website traffic, which are our legitimate interests (Art. 6(1)(f) GDPR).
— Measuring and improving our advertising on Facebook and Instagram, only with your consent (Art. 6(1)(a) GDPR). You can withdraw your consent at any time.

4. How long we keep it

Quote requests that do not lead to an assignment are kept for up to 12 months. Data related to completed assignments is kept for the period required by Polish tax and accounting law (generally 5 years from the end of the tax year).

5. Who we share it with

— Vetted transport and logistics partners, only to the extent needed to carry out your assignment.
— Our hosting provider OVHcloud (servers in the EU).
— Google Ireland Ltd. (Google Workspace), which provides our email service. Quote requests and the photos attached to them are delivered to our mailbox hosted by Google. Transfers to the USA rely on the EU–U.S. Data Privacy Framework.
— Akismet (Automattic Inc., USA), which checks form submissions for spam. Transfers to the USA rely on the EU–U.S. Data Privacy Framework.
— WhatsApp (Meta), if you choose to contact us that way.
— Meta Platforms Ireland Ltd. (Facebook, Instagram), if you consent to marketing cookies; see section 7. Data may be transferred to Meta Platforms, Inc. in the USA under the EU–U.S. Data Privacy Framework.
— Public authorities, where required by law.

We never sell your personal data.

6. Website analytics

We use Independent Analytics, a privacy-friendly tool hosted on our own server. It does not use cookies, does not share data with third parties and does not identify individual visitors. It shows us aggregated information such as page views, referring websites and visitors’ countries.

7. Cookies

Our website uses cookies and similar technologies that are strictly necessary for it to work, such as the photo upload in the quote form. With your consent, we also use the Meta Pixel, a marketing tool provided by Meta Platforms Ireland Ltd. It helps us measure the effectiveness of our ads on Facebook and Instagram and show them to people who have visited our website. The Meta Pixel is loaded only after you click “Accept” in the cookie banner, and you can change your choice at any time via “Manage consent”. Details are in our Cookie Policy.

8. Your rights

You have the right to access, correct or delete your data, to restrict or object to its processing, and to data portability. To exercise these rights, contact us at hello@holden-transport.com. You also have the right to lodge a complaint with the Polish supervisory authority, the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw.
